Group Conscience minutes for June 11, 2024

Opened meeting with Serenity Prayer

Regular Reports

Treasurer’s report (Jason H.); Jason summarized the income, expenses, donations to local organization, available cash, and prudent reserve from May 15th to June 11th 

Literature and Chips report (Theresa W.); Theresa checked in from work, there was nothing new to report Webmaster’s report (Lauren H.); Will update the website to reflect that the 8 PM meetings are only on Tuesday and Wednesday. Kathy to follow up with Lauren to get the right names associated with the right times. 

Would it be OK to put Sunday afternoon volleyball in the events section? Consensus seems to be yes, could ask Greg C.  

Is there some way to put a more direct link to the Group Conscience Zoom meeting on the 511 website so that people don’t have to type in both the meeting ID and password?   

GSR Report (Monica F.); The “Box 459” newsletter has been discontinued because postage to mail it directly is not cost effective.  There is a spring conference in Clear Lake the weekend of June 15th.

Keymaster’s report (Erin S.); (discussion among group) If chairpersons need a key, they must get it directly from Erin, so that it can be properly tracked. Anyone who has a key but is no longer a chairperson should either pass it on and notify Erin, or turn it in to Erin.

Announce the key protocol at meetings, so that keys can be recovered and distributed properly.

Intergroup news (Monica F., Kathy L.); The Friday night women’s group is having a potluck; Kathy will get more details.  On October 19th, there will be a Halloween chili cook off at Zion Lutheran; more details as the date gets closer.

Old business

White Boards (Tom J.): Michael H. (graphic artist) has begun to apply ruling and lettering to boards. Randy, Tom J. and at least one other person will arrange to hang the boards when Michael’s work is complete.  Michael could ask for a key so that he can get in to work on them between meeting times.

Kathy has donated a big screen TV to 511 Melrose.  The general idea would be to reinstate movie nights.  Does anyone have an extra DVD player to donate or does anyone know where to find the DVD player that was at 511 before now?  Lauren will look at how to connect it.  Note that we will also need DVDs lent or donated.

Painting: Poll the fellowship (as a signup sheet on the table) to find out how many people are (or are not) in favor of painting the meeting room.

Blinds: Melrose Inc. says it would be OK to replace blinds. We should look at options/styles to see what is practical.

Seating: poll (via a signup sheet) to see whether to repair or replace? The chairs are sturdy, but some need structural repair (especially the ones on the porch) and some require new coverings.  At least one person in GC does not care for bumping arms with others in the existing seats, so they sit at the table rather than around the outside.  Should also ask Randy about which are practical to repair and which are not.

Expenditures: for spending on projects, should there be a threshold above where we poll the fellowship for approval?  Should this be an absolute amount (e.g., $500) or perhaps a percentage (e.g., 25 percent) of available cash on hand?

New Business

Mark P. would like to resume the Saturday evening meeting at 6 PM each week; the meeting was suspended during COVID and was not restarted.  Kathy stated that Melrose Group must notify Melrose Inc. of new meetings, since Melrose Group is charged $45 per meeting. The meeting must not conflict with other 511 Melrose meetings already on the schedule.  The meeting must establish a hosting schedule (Mark P. volunteered to take the rest of this quarter and the third quarter), and the chairpersons would have to get keys from Erin.  Also it must be designated as open or closed.  Mark P. made the motion to approach Melrose Inc. with this proposal, seconded by Kathy L., all voted “aye”.

Jason moved to adjourn, seconded (by whom?) all voted “aye”.  Meeting was adjourned.
