Group Conscience minutes for April 9, 2024

Committee Reports
Treasurer’s Report: Kathy nominated Jason H as Treasurer due in part to his length of sobriety; someone seconded; votes were all “ayes”. Jason H. is now the Treasurer, he and Kathy are in the process of getting Jason access to the bank accounts and other details.

Old business
Should Group Conscience pay for a Big Book when a new member joins Melrose Group? Cost to Melrose for each BB is $12. It was suggested that Big Books could be taken from the closet and the envelope in the book be put in the 7th tradition safe to track how many books are given. If an individual prefers to pay for it, that would still be an option. Discussion ensued. Kathy made motion that present practice (a member of fellowship pays) should be continued; (someone) seconded; votes taken were all “ayes”.
The cost to replace the two white boards on the south wall was discussed. Tom had separately summarized two options (make vs. buy). The group asked for a recommendation but Tom did not understand that. A $500 budget was established for the replacement of these two boards with ready-made boards (i.e., with frames and trays). Tom will explicitly make a recommendation and report back.
Should the “safety statement” (currently taped to one of the marker boards) be placed in a frame? Tom made the motion that it should be framed; Jason seconded, all votes were “ayes”.
Spring clean up is this Saturday (April 13th). We have all of the required equipment; need someone to remove old TVs and microwave from premises.
New Business
Kathy said that one person had expressed concerns that Venmo contributions were “not anonymous”. Lauren pointed out that when a donation is made through Venmo, the name used on that donation can be anything, independent of the donor’s account name or any other data associated with the donor’s account. Lauren stated that PayPal may even be less “anonymous” in some regards. Brian made a motion to continue to use Venmo as a donation mechanism; Jason seconded. Voting was all “ayes”.
The idea was brought up about putting all of the “Melrose” meetings on the 511melrosegroup.org web site. Currently the Sunday 945 AM meeting is not included, also the Thursday 8 PM meeting is listed on the website but is not mentioned in the District 13 pamphlet. Discussion on which “Melrose groups” should be covered by the 511melrosegroup.org page ensued. Should all meetings physically held at 511 be represented? Lauren made a motion to contact other groups to get permission; Tom seconded; all votes were “ayes”. Kathy accepted action item to contact other groups to determine whether that group wants to have their meetings listed on the website.
Theresa reported that she has ordered more books to place in the closet. These are new books that we have not had before, so the fellowship will have more choices.
Keys information is still being compiled. Ask Erin next time. Becky stated that she has key #49 and will get it to Erin.
Intergroup picnic is May 18th at Willow Creek Park from 10 AM to 3 PM; food to start at 11 AM. Supplied food is TBD. 10 minute speaker will be Megan H.; other speaker(s) TBD
